Review Task

Reviewing and approving tasks in Trisk is a structured and efficient process designed for both the company and the client. When a client completes and submits a Form task, it is automatically assigned to a designated reviewer as a Review Task.

This process ensures quality control, allowing the reviewer to verify the accuracy of the submitted information before marking the task as complete.

Think of it as being able to double-check if someone has completed a house chore that you left them a note to do on the fridge.

Accessing Review Tasks

Review Tasks can be accessed from the Dashboard:

  1. Click on the Tasks to Review hyperlink in the orange notification banner.

  1. This will open a Foldover displaying all pending review tasks.
  2. Click the orange Review Task button to navigate to the Review Task screen.

Review Task Screen

The Review Task screen is identical to the form originally completed by the user but includes additional controls for the reviewer. These options allow for approval, editing, or requesting modifications before the task is finalized.

Approve/Submit

If the form is complete and accurate, clicking the green Approve button marks the task as completed, removing it from all active task lists.

Force Edit

If minor adjustments are needed, the reviewer can click Force Edit to unlock the form and make corrections directly. After making the necessary changes, clicking Finish Editing will lock the form again for approval.

Note: Access to Force Edit is permission-based, allowing only authorized users to make changes.

Activity

Clicking the Activity button redirects the user to a separate page with detailed statistics about the task, including:

  • Task status
  • Assignee
  • Due dates
  • Workflow details
  • Time spent on the task

Requesting Changes and Discussions

If the reviewer identifies issues and is not ready to approve the task, they can initiate a discussion to request clarifications or modifications.

  1. Each question field contains a Discussions button.
  2. Clicking the button allows the reviewer to leave comments or ask questions.
  3. Once a discussion is created, the question field turns pink, the green Approve button becomes inactive, and the red Return button becomes available.

Discussion Controls

  • Edit (pencil icon) – Modify an existing comment or question.
  • Delete (trashcan icon) – Remove a discussion entry.
  • Resolve – Mark a discussion as complete once the issue is addressed.

If at least one discussion remains unresolved, the Approve button remains disabled, requiring further action. You must resolve all Discussions before you can submit the form.

Returning a Task

If corrections are necessary:

  1. Click the red Return button to send the form back for revision.
  2. The assignee will receive a notification and can access the task through their Trisk Dashboard as a Returned Tasks.

Review

  1. Once the assignee updates the form, it will be resubmitted to the reviewer for final approval.

Notes and Comments

Depending on workflow settings, Notes and Comments may also be available during review:

  • Notes: Private annotations for personal reference.
  • Comments: Shared feedback visible to all relevant users.

Both Notes and Comments can be turned on or off during workflow setup.

Client's Review Screen

Trisk notifies clients when a task is returned for additional work. Notifications appear on the Dashboard in a red banner.

Accessing the Client Review Screen

To review and address comments:

  1. Open the notification:
    Click the red Review button on the Dashboard (visible in the red banner).
  2. Click the Resubmit button in the Requests foldover to proceed to the Client Review Screen.

Reviewing Comments and Responding

The client's review screen focuses on questions with comments.

At the top of the screen, a progress bar displays numbered questions:

  • Red numbers indicate questions requiring attention.
  • Green numbers indicate completed questions.

The Client Review Screen is divided into two sections:

  • The center of the screen displays the question.
  • The right side contains the Discussions section, where comments from the reviewer are visible.

Addressing the Reviewer's Comments

  1. Edit the response in the input field.
  2. Click Submit & Next to save the response. The question number turns green in the progress bar.

  1. If multiple questions require edits, the "Submit & Next" button changes to "Jump to Unresolved," directing the client to the next red question.

Submitting the Updated Form

Once all numbers in the progress bar are green:

  1. Click the green Submit button to resubmit the form.

Review

  1. The task returns to the reviewer for approval.
    • If additional changes are required, the form is sent back with further comments.
    • If approved, the task is marked as completed.

This process ensures a clear and structured review cycle until all reviewer’s requirements are met.
