Forms That Do More: Automate Workflow Launch with IF/THEN

Manual handoffs slow everything down, especially when the next step depends on how a client answers a form.

For years, IF/THEN Logic in Trisk has made Forms smarter, and now we’re taking automation even further. With IF/THEN Workflow Launch, your forms can automatically trigger workflows based on user responses, eliminating manual setup and moving processes without waiting for someone to click “next.”

Where Manual Processes Still Slow You Down

In most firms, even highly structured data collection still ends with a bottleneck: someone has to read the submission, decide what comes next, and launch the proper process. But that creates friction, leading to delays, missed steps, and miscommunication.

Now, there’s no need to wait.

Let your forms launch the right workflow immediately after submission, based entirely on logic you define.

Real-World Examples

  1. A finance team collects client onboarding details. If a company’s annual revenue exceeds $5M, a customized compliance workflow is launched. If not, a standard onboarding process begins instead—no extra steps, just seamless automation. 
  2. An HR team collects employee information. If the applicant selects “Married,” the form automatically triggers a “Spouse Benefit Verification” workflow—no one needs to remember or follow up.

What’s New?

🔹 Trigger workflows from form responses – Use IF/THEN Connect rules in the Form Builder to launch a specific workflow when conditions are met.

🔹 Preview what will happen – Before submitting a form in the Form Builder, you can see which workflow will launch based on the answers.

🔹 See Triggered Workflows Instantly – When completing a form, you can preview which workflows will launch based on the responses, directly from the Tasks tab in the Foldover in Triggered by IF/THEN Connects.

🔹 No duplicate launches – Once a workflow is triggered, even if the user re-completes the original form, it won’t relaunch the triggered workflow again.

How It Works

Setting up the IF/THEN Workflow Launch works the same way as with the Forms:

1. Open a form in Studio > Forms and click IF/THEN Connect on the toolbar. A summary of all active IF/THEN Connect rules for the current form will be available here

2. Click the blue Add Rule button 

3. Add a trigger condition (e.g., “IF Marital Status = Married”)

4. Select “Launch Workflow” from the THEN Action dropdown

5. Choose the workflow and version to launch 

6. Submit and Launch the form

7. When the user submits the form with the chosen condition, the platform runs the workflow automatically

Now, your workflows automate themselves—no manual intervention required. 

Why It Matters

Important Notes

📌 Not Available for Surveys: Surveys function as a standalone tool, separate from Workflows, and do not support IF/THEN Workflow Launch.

📌 Workflow Status Requirement: Only workflows with Active or Ready status can be selected for trigger launch, ensuring consistency and preventing errors. 

📌 Assignee Logic – the platform assigns the launched Workflow automatically based on roles in the main Workflow and client team structure—no manual reassignment needed.

With our new Workflow Activity History, you can now see a full timeline of events across every workflow, from kickoff to completion. Whether you’re managing compliance, onboarding clients, or collaborating across departments, it’s now easier than ever to trace exactly what happened and when.

When You Need a Clear Record—Not Just a Status

In professional services, the process is the product. A missed step, unexplained change, or undocumented rollback can create delays, confusion, or worse—compliance risk.

Workflow Activity History solves this by giving you a timestamped, role-based view of every meaningful change inside any workflow scheme.

You don’t have to ask, guess, or retrace steps manually. Just open the history.

What’s New?

🔹 Workflow Timeline – Every workflow now comes with Activity History, visible to users based on roles and permissions.

🔹 Complete Lifecycle Logging – See events like:

• Workflow launched (manually or by Trish AI)
• Workflow terminated, completed, or rolled back
• Due date changes
• Assignee changes
• Task and process additions
• Renames, identifier changes, and exports

🔹 Who Did What, and When – Each entry shows:
• Timestamp
• User name
• Action taken

 

How It Works

1. Go to Menu > Workflows*

2. Hover over any workflow in the list and click the new clock icon to open Activity History
